“I Never Got Your Quote” — Diagnosing the Gap
Few things stall a job like a quote that vanished. Before resending blindly, work out whether it was never sent, never delivered, or never noticed.
Few things stall a job like a quote that vanished. Before resending blindly, work out whether it was never sent, never delivered, or never noticed.
Three different things hide behind "I never got it", and they need different fixes.
The quote is still DRAFT in Xero. It happens more than anyone admits — you built it, got interrupted, and never marked it sent. Check the status first.
Wrong address, typo, or an old email for someone who changed jobs. Verify the address on the contact record — this is the most common genuine cause.
Spam folders, aggressive corporate filtering, or an inbox where your message slid past unnoticed. Ask them to search for your business name before you conclude anything. If it's a pattern across customers, fix sender authentication.
This is precisely why automated follow-ups earn their keep: a second and third touch catch the quotes that vanished the first time, without you having to suspect anything.
Check the email address on the Xero contact first, then ask the customer to search their junk folder for your business name. Delivery logs in your sending tool will confirm whether it left successfully.
Resend the same quote — a new one creates duplicate records and confuses your pipeline. If the details have changed, update the existing quote and resend that.
