Follow-Ups Aren't Going Out — The Checklist

Everything looks connected, but no follow-ups have gone out. Usually the sequence is working exactly as configured — just not as you assumed.

Connected, syncing, and silent. Here's what to check — starting with the one people miss most.

1. Does the contact have an email address?

A Xero contact without an email address cannot be emailed. This is the single most common cause and it is invisible unless you look at the contact record.

2. Is the first nudge actually due?

If your first follow-up is set for four days, nothing happens for four days. Check your configured cadence against when the quote was sent — see what a sensible cadence looks like.

3. Has the quote's status changed?

Accepted, declined and expired quotes stop their sequences immediately. If someone updated the status in Xero, the chase correctly ended.

4. Are your rules narrower than you remember?

Rules limiting follow-ups by value, age or customer will exclude quotes that fall outside them. Review the rules rather than assuming everything is in scope.

5. Is the sequence enabled at all?

Worth confirming after any settings change — a paused sequence looks identical to a broken one from the outside.

Why hasn't my follow-up email been sent?

The three usual reasons: the delay you configured hasn't elapsed, the quote's status changed so the sequence stopped, or the Xero contact has no email address. Check the contact's email first — it's the easiest to miss.

Do follow-ups stop when a quote is accepted?

Yes, immediately. Sequences also stop on declined and expired quotes, so customers never receive a chase for something already decided.
