The clean path exists: quote → accepted → invoice, line items intact, nothing re-typed. Most businesses use half of it.
Build the quote properly in Xero (real line items, not one lump sum — it prices better and converts cleaner). Send from Xero so the status tracks. On a yes, mark ACCEPTED and convert to invoice; every line carries over. Deposit invoices work too: convert, then edit to the deposit amount, with the balance to follow.
Two places. Quotes sent outside Xero (a PDF from email) never get status-tracked, so the pipeline view lies. And accepted-in-conversation jobs that never get marked ACCEPTED — invoiced from scratch instead — sever the quote-to-cash thread and reintroduce typing errors.
Xero handles the paperwork at both ends but does nothing between SENT and ACCEPTED — the interval where the customer needs a nudge or three. That silence is not a workflow step in Xero at all, which is why so many tidy workflows still leak jobs.
